CONTEXTE ORGANIZATIONEL:

 

Le poste de Staff Assistant – Front Office opère au sein du Bureau Pays sous la supervision directe du Country Director. Il implique une gestion centrale des activités du Front Office et une interaction quotidienne avec la direction, les équipes internes et des partenaires externes. Le/la titulaire doit faire preuve d’autonomie, de jugement et d’initiative pour gérer des demandes complexes, résoudre des problèmes quotidiens et coordonner efficacement les priorités.

 

Le rôle comprend un ensemble de tâches spécialisées en support exécutif, administration, logistique et organisation des missions, tout en garantissant la confidentialité des informations. Le poste peut également inclure la coordination et le coaching de personnel de support junior afin d’assurer un service cohérent et conforme aux standards du Bureau.

 

OBJECTIF DU POSTE:

 

Le/la Staff Assistant assure un soutien exécutif, administratif et logistique complet au Country Director et au Front Office. Il/elle veille à la continuité des opérations de la Direction, organise les missions et activités institutionnelles, optimise les processus internes et appuie le personnel dans la prestation de services administratifs.

 

L’objectif central est de garantir un fonctionnement fluide, professionnel et efficace du Front Office grâce à une coordination proactive, une gestion rigoureuse de l’information et un appui opérationnel de qualité.

 

PRINCIPALES RESPONSIBILITES (liste non exhaustive):

 

A. Support exécutif et coordination du Front Office

 

Fournir un appui administratif et exécutif complet au Country Director.

Gérer le calendrier, les rendez‑vous, les déplacements et les engagements du Country Director.

Préparer les dossiers de réunion, notes, briefings, correspondances et documents officiels.

Assurer la circulation fluide des informations entre le Front Office, les équipes internes et les partenaires externes.

Maintenir un système de suivi des engagements, priorités et actions en suspens.

B. Gestion documentaire et reporting

 

Préparer et consolider des rapports, présentations, notes officielles et documents stratégiques.

Réviser, corriger et améliorer les documents avant validation.

Effectuer des recherches et compiler les informations nécessaires pour soutenir la prise de décision.

Gérer les dossiers, archives, bases de données et systèmes d’information conformément aux normes organisationnelles.

C. Administration, logistique et organisation des missions

 

Organiser les missions terrain : préparation des Trip Documents, réservations d’hôtels, logistique, suivi administratif.

Coordonner les réunions, ateliers, événements internes : salles, équipements, documents, participants.

Assurer la gestion des besoins administratifs du Front Office (fournitures, maintenance, équipements, accès système).

Servir de point focal pour l’accueil, la préparation et la coordination des visiteurs officiels.

D. Support opérationnel et amélioration continue

 

Répondre aux requêtes complexes en matière de support pour assurer une résolution rapide et précise.

Suivre et contribuer à la gestion des budgets : planification, suivi, réconciliation.

Identifier et recommander des améliorations aux procédures, outils de gestion, workflows internes.

Créer et mettre à jour des checklists, modèles, tableaux de bord et outils de suivi pour optimiser l’efficacité du Front Office.

E. Supervision et accompagnement

 

Fournir conseils, encadrement et formation aux membres juniors du staff administratif.

Coordonner la répartition des tâches des collègues de support pour garantir une prestation homogène et conforme aux standards.

Veiller au respect des règles, politiques, protocoles internes et exigences de conformité.

F. Confidentialité et éthique

 

Assurer la confidentialité absolue des documents, décisions, informations stratégiques et dossiers sensibles.

Représenter le Front Office avec professionnalisme dans toutes les interactions internes et externes.

Exécuter toute autre tâche requise.

QUALIFICATIONS ET EXPÉRIENCE MINIMALES REQUISES:

 

Education:

 

Diplôme d’études secondaires. Certificat d’études postsecondaires dans le domaine fonctionnel concerné.

 

Experience:

 

Six ans ou plus d’expérience professionnelle à responsabilités croissantes dans le secteur d’activité concerné, incluant une expérience en administration générale.

 

Connaissance & Compétences:

 

Connaissance approfondie de l’application des processus d’affaires courants, des méthodes, procédures et systèmes de soutien aux entreprises utilisés dans le domaine d’activité, acquise par la formation technique et l’expérience professionnelle.

Excellentes aptitudes à la communication pour fournir des services de soutien spécialisés à un large éventail de personnes.

Capacité d’analyser et d’interpréter des données financières et de suivre les budgets.

Capacité de cerner et de recommander de façon proactive des pistes d’amélioration pour la conception et la prestation de services spécialisés.

Capacité d’établir des relations avec diverses personnes de différents services.

Expérience en coordination du travail d’autrui et de son propre travail, ainsi qu’en formation et en soutien du personnel.

Capacité à respecter la confidentialité.

Langue:

 

Maîtrise (niveau C) du français et de l’anglais (niveau B).
